The position of Microsoft’s M365 as a platform for Finnish intranets has only strengthened in recent years. The Covid-19 pandemic has exploded the use of Teams. In some organizations so much so that Teams has become a synonym for the word ‘intranet’. SharePoint communication sites are created in the M365 environment with only a few clicks. Hence, one can easily set up a small set of internal instructions, messages and tools.

Case: Ramirent’s Intranet – triumph over adversity

Ramirent, one of Europe’s largest machine rental companies, relaunched its intranet during the Covid-19 pandemic and major internal changes. Simultaneously, new communication and collaboration tools were introduced. Renewing the digital work environment is always a major task, and on top of that, Ramirent had some extra challenges. Nevertheless, the new intranet was successfully launched on schedule in early May.

Case: The new intranet of the University of Helsinki is a result of close-knit collaboration

2017 was a year of change for the University of Helsinki. The University was undergoing a big organizational change and at the same time a new student platform was taken into use. The intranet called Flamma was a joint intranet for both staff and students. Now, some of its content would be transferred to the new student platform called My Studies, giving an opportunity to reorganize the content of the intranet. In addition, the technical platform was coming to the end of its life cycle and adding the fact that the intranet was not responsive, a renewal was more than called for.

Case: Caverion’s new intranet is an efficient tool for everyday communication

Caverion designs, produces and maintains technical solutions in real estate and manufacturing. Their renewed intranet was launched in March 2018. The renewal sought to create a tool that would support daily work and enable concurrent communication throughout the organisation, regardless of language version or job title. The renewal and changes in content production were introduced on time and within the budget, thanks to strong ownership and leadership in the project. Here is what Anne Kotila, Digital Communications Manager, who was in charge of the project, and Päivi Alakuijala, Chief of Communication and Marketing at Caverion, have to say about the successful renewal.

SharePoint Online in mobile devices

One of the most important benefits of SharePoint Online is that it contains well-designed tools for shared creation of documents within teams and projects. If it is mandatory to be able to open Office documents directly from the intranet and for multiple users to edit them simultaneously, scale is often tipped towards SharePoint right from the beginning when selecting the most suitable technology for a new intranet implementation.

But when intranet usability on a mobile device is taken into consideration, the choice is not so obvious anymore. Yes, SharePoint Online is available as a cloud service from outside the organization’s own network, but SharePoint’s proprietary page templates and themes are not responsive, and using sites designed for desktop screens is far from inviting on a mobile device. What are the remedies, then?

How much does Office 365 intranet cost?

Setting up a simple Office 365 intranet is a rather straightforward task. With the appropriate license, basically anyone with SharePoint administrator rights may click their way through setting up one. In the fortunate event that one actually knows what they are doing, the result may actually be a very good intranet. This is what we used to do at North Patrol in the past, and this is likely what is currently being done in many smallish organizations where working is greatly focused on documents. Convenient for sure, especially since there are no costs in addition to licensing.

There is a lot of variation in the prices of setting up an intranet. The differences are dependent on the size of the organization and the intranet service itself—its purpose and its role. At North Patrol, we assist our clients in finding a vendor for their intranets through a competitive bidding process. We went through all the proposals from the tendering processes we have been facilitating in 2013–2014. We compared the prices and estimated workloads, and calculated the averages.
